David Nye Bespoke Fleet Management Example

Scope

Client:SGB Fleet Services division, based in Crawley, West Sussex, UK.
Objective:To replace the existing Eurofleet package with a bespoke MS Access database application.
Size:Nationwide vehicle fleet of over 1000 cars, vans, fork lift trucks and HGV, with 600 drivers.
Users:Initially 14 users on Windows LAN in Crawley. Remote access for 5 regional workshops.

Background

  • The existing Eurofleet system had become expensive and difficult to maintain and upgrade, being based on proprietary technology.
  • Much of the data it contained was inaccessible.
  • It did not appear to be able to handle the growing number of users satisfactorily.
  • Core financial systems being converted to Oracle, so the fleet management system to interface with Oracle.
  • Standalone Microsoft Access databases have already been developed in-house to supplement the existing system, for example, the Time & Mileage journal calculations. These existing Access databases could be integrated into the new system where appropriate.
  • Accounting staff are easily able to manipulate data in Access databases, affording great operational flexibility.
  • The new Access front end can be converted to use an Oracle or SQL Server database engine in the future if required.
  • Needed to eliminate duplication of input.
  • Needed to include external hire vehicles.
